General Exhibit Guidelines

Here are a few best practices to help you make the most of your exhibit experience.

Each tabletop exhibit packages includes (1) 6-ft table and (2) chairs.

We recommend...

  1. Have at least one person at your table during breaks and meals - this is optimal networking time!
  2. Keeping your exhibit footprint compact - no more than 7 feet wide and 4 feet from the wall.
  3. Use of portable pull-up banners for signage is encouraged.
  4. Small graphics, like posters or literature, should be set on top of your table. 
  5. In most cases, your table will be directly next to another exhibit table - be a good neighbor 🙂
  6. If you need access to electricity, please order in advance from the hotel. See ELECTRICAL AND INTERNET below.
  7. Attendees want to learn about the services and resources you provide. Be friendly and say hello!
  8. The conference will not have a free wi-fi network in the conference center. Plan to use a personal hotspot or cellular data for internet access. 

Things to avoid...

  1. No outside food or beverage is permitted. Except for small, prepackaged candies or mints, all food served or given away at exhibitor tables must be ordered from the hotel's catering dept. This is a health code requirement and could result in fines if violated. Please contact Nann Philips for more details.
  2. Large backdrop banners or additional tables, shelves, or other furnishings. 
  3. Exhibit displays or signage that block or interfere with any emergency exit apparatus (signage, lighting, sensors, etc.)
  4. Any part of your exhibit that extends too far into the foyer and impedes the flow of traffic or interferes with another exhibitor.
  5. Flashing lights, loud music or other devices that distract from or interfere with conference activities.
  6. Open flames of any kind are strictly prohibited.
  7. Live animals except for service animals.

 

INCOMING SHIPPING

All deliveries to the hotel are subject to handling charges and must be received by Friday, October 10.  See "Shipping and Dock Info" for details. In many cases, it might be less expensive to pay extra baggage fees on your flight than to pay shipping and handling fees. *Resort cannot accept packages more than (5) five days prior to the event. Prices subject to change. 

Incoming shipments will be accepted and stored by the Omni Orlando Resort at ChampionsGate. The resort cannot accept packages more than (5) five days prior to the event (no earlier than Wed Oct 8).

OUTGOING SHIPPING

Please see instructions in the Shipping and Dock info. There is a UPS office at the hotel to assist with outgoing packages. 

ELECTRICAL AND INTERNET

Power and internet services are provided by Pinnacle Live, the hotel's in-house audio-visual and technology partner. Basic power is approximately $250 for the duration of the event. We strongly recommend that you order services in advance to ensure a smooth set-up experience. The conference will NOT have a free wi-fi network available.
