Exhibitor Terms & Conditions

General Exhibit Guidelines

Exhibit tabletop locations are assigned on a first come, first served basis, with priority given to sponsors. 

Each tabletop exhibit packages includes (1) 6-ft table and (2) chairs.

We recommend...

  • Have at least one person at your table during breaks and meals - this is optimal networking time!
  • Keeping your exhibit footprint compact - no more than 7 feet wide and 4 feet from the wall.
  • Use of portable pull-up banners for signage is encouraged.
  • Small graphics, like posters or literature, should be set on top of your table. 
  • In most cases, your table will be directly next to another exhibit table - be a good neighbor
  • If you need access to electricity, please order in advance from the hotel. (information will be provided in advance)
  • The conference will not have a free wi-fi network in the conference area. Plan to use a personal hotspot or cellular data for internet access. 

Things to avoid...

  • No outside food or beverage is permitted. Except for small, prepackaged candies or mints, all food served or given away at exhibitor tables must be ordered from the hotel's catering dept. This is a health code requirement and could result in fines if violated. Please contact Nann Philips for more details.
  • Large backdrop banners or additional tables, shelves, or other furnishings. 
  • Exhibit displays or signage that block or interfere with any emergency exit apparatus (signage, lighting, sensors, etc.)
  • Any part of your exhibit that extends too far into the foyer and impedes the flow of traffic or interferes with another exhibitor.
  • Flashing lights, loud music or other devices that distract from or interfere with conference activities.
  • Open flames of any kind are strictly prohibited.
  • Live animals except for service animals.

Payment Terms
Payment for exhibitor tabletops may be made online by credit card, or by requesting an invoice to pay by check or PO. Exhibit tables are not confirmed until payment has been received in full. If you require an invoice, please select “Invoice” when you reach the payment page. This will generate an invoice which you can use to process your payment. Receipt of an invoice does not confirm your participation. All balances must be received by Shared Hope International and paid in full by Friday, October 23, 2026.

Cancellations must be received by the deadlines indicated below. To cancel your registration, please submit your cancellation request here. You will be asked to provide the original registrant’s name and confirmation number. Refunds will be issued to the original method of payment within 30 days of request.

Due to the sensitive, and sometimes graphic, nature of content provided during our workshops and presentations, all participants must be at least 18 years of age. No one under the age of 18 will be admitted to any conference activity. 

Badges must be claimed onsite at the conference and cannot be mailed.

Registration and attendance at or participation in the JuST Conference constitutes an agreement by the registrant to permit event organizer’s use and distribution (both now and in the future) of the registrant’s image or voice in photographs, videos and other electronic reproductions of such events. 

Sponsorship Terms & Conditions

Shared Hope International makes no warranties, guarantees or representations regarding benefits to be received by Sponsor from this sponsorship. Shared Hope International will not be liable to Sponsor for any damages for lost profits, lost income, lost revenue, incidental damages, consequential damages, or attorney’s fees. Sponsor agrees to indemnify and hold Shared Hope International harmless for all claims, demands, and liabilities, whatsoever, made or asserted by any third party against Shared Hope International relating to any act of omission or commission of Sponsor.

Payment for sponsorships up to $5,000 may be made online by credit card, or by requesting an invoice. Balances of $5,000 or more should be paid by check or PO. Sponsorships are not confirmed until payment has been received in full. If you require an invoice, please select “Invoice” when you reach the payment page. This will generate an invoice which you can use to process your payment. Receipt of an invoice does not confirm your participation. All balances must be received by Shared Hope International and paid in full by Friday, October 23, 2026.

50% refund – from time of purchase through August 27, 2026.

No refunds available on or after August 28, 2026.

Written cancellation must be received by email conferences@sharedhope.org at least 60 days prior to the event (on or before August 27, 2026). Sponsorship cancellations received at least 60 days in advance are eligible for a 50% refund. Cancellations received on or after August 28, 2026, are not eligible for a refund. Sponsorship cancellations may incur additional cancellation fees to cover costs and damages based upon sponsorship recognition prior to conference and are handled on a case-by-case basis.

Shared Hope International may also cancel this agreement without refund or credit (except for situation “f”) for any of the following reasons: a) Sponsor breaches this agreement, b) Sponsor fails to pay Shared Hope International as outlined in this agreement, c) Sponsor is the subject of any negative publicity which Shared Hope International determines in its sole discretion, is inconsistent with the principles or goals of Shared Hope International or reflects a negative image of Shared Hope International, d) Shared Hope International receives complaints about Sponsor which are not resolved in a satisfactory manner, e) Sponsor engages in any illegal or unethical activity, f) Shared Hope International is unable to hold the event due to circumstances beyond its control. Shared Hope International reserves the right to review any and all material that will be used by the sponsor in advance to determine its appropriateness and quality. Full payment is due upon execution of this agreement.
